Facilities: how it works

Facilities are the resources in your stable that can be booked for a horse—arenas, walkers, treadmills, solariums and similar equipment. Stable owners and staff use them to schedule activities, track usage and generate invoices. Each reservation is recorded as an activity, linking facilities with the Activities module.

What a facility is

A facility belongs to a Stable, has a Facility type, a name and a capacity that limits how many horses can use it at the same time. It can be enabled or disabled; a disabled facility shows a Disabled badge and does not appear in the reservation calendar.

How it works together

  1. Manage facilities – Define the facilities you have, set their type, name, capacity and whether they are enabled. This determines what resources are available for booking.
  2. Facility reservations – In the calendar you can create a reservation for a horse, choose the facility, date, start time and duration, and save it. You can also edit or cancel your own reservations later.
  3. Use the Facility type filter (and the Stable filter if you have multiple stables) to narrow the calendar view to the facilities you need.
  4. Facility reservations – If the TransPas integration is active, imported reservations appear in a separate Gantt view. Here you can change the details, move the reservation to another facility, or cancel it, but you cannot add new ones.
  5. All reservations, whether created in the calendar or imported from TransPas, are stored as activities, so they are visible in the Activities module and can be invoiced.

Role rights

Users who have the manage facilities right see the complete Facilities menu. They can add, edit, enable or disable facilities and can view and modify every reservation in the calendar.

Users who only have the book facilities right do not see the Facilities menu. They use the My reservations view to book only their own horses, and they can edit or cancel only their own bookings.

Good to know

  • You need at least one facility defined; otherwise the reservation calendar and the TransPas view show a No facilities message.
  • A facility marked Disabled is hidden from both the calendar and the Gantt view; you can re‑enable it from the Manage facilities page.
  • The Facility type filter is always available and lets you limit the view to a specific type of facility.
  • Reservations created in the calendar become activities, so they appear in the Activities module and can be invoiced.
