Organization admin: how it works

Organization admin is the central hub for stable owners, managers and staff with admin rights. From here you define the organisation’s basic information, set up locations, control who can do what, connect external services and manage your EquineM subscription. All these settings flow into horse records, planning, invoicing and every other module.

How users, roles and permissions work together

In EquiApp a user can have one or more Role. Each Role is a collection of Permissions that decide which actions a user may perform – for example adding a horse, editing a location or creating an invoice. By assigning Role you control access without editing each user individually. The Permissions page lets you create, edit and reactivate roles, and any changes become effective only after you click Save in the pending‑changes banner.

How it works together

1. Settings: set the Organization name, Timezone, add Stables, Pastures and other locations, and manage Holidays. The locations you add become selectable when assigning a horse or planning an activity.
2. Location details: edit a Stable or other location’s general information and address. Updated details are reflected in reports and in a horse’s location history.
3. Permissions: create new Role, adjust the Permissions each role grants, and reactivate hidden roles if needed.
4. Users: invite new staff with the Invite user button, assign one or more Role, and optionally restrict the Stables they can access.
5. User details: view and edit a user’s contact information, change Company access (when several companies exist), and see the horses they own and any orders.
6. Integrations: connect external services such as accounting, the Dutch RvO or HorseTelex, configure additional settings and manage Active integrations.
7. Your Equinem subscription: review your Current subscription, add or remove modules, update the payment method or cancel the plan.

Good to know

• Changing the Timezone updates all date‑time displays for every user instantly.
• New Stables or Pastures and other locations appear in location pickers everywhere and are added to a horse’s location history.
• Permission changes only take effect after you click Save in the pending‑changes banner on the Permissions page.
• When your organisation has multiple companies, the Company access dropdown appears on user details and during integration setup to select the appropriate Company.
